Privacy policy

IMA Outreach Tracker is a private tool for students and coaches of the IMA Accelerator program. It tracks the outreach emails students send so they and their coaches can measure progress and learn what works. This page explains what it reads, why, who can see it, and how long it is kept.

What we access

• Your account: your name and email address from your IMA Accelerator members account, your coach and your timezone. There is no password: you sign in with Google or a one-time email code.
• Connected Google Workspace inboxes: with your permission, read-only access to Gmail (gmail.readonly). We store the outreach emails you send and the replies to them: sender, recipients, subject, date and text. When a contact (or a colleague at the same company) writes back as a new email rather than replying, we link it to the outreach it answers. We don't store other emails in your inbox.
• Your agreement: when you connect an inbox we record that you ticked the agreement below, the date, and which version of the wording you agreed to.

What you agree to when connecting an inbox

I agree that IMA Accelerator coaches can read the outreach emails I send from this inbox and the replies to them, analyse them (including with AI tools) to learn what works across the program, and export them for that purpose. Email addresses and phone numbers of the people I email are removed from exports made for AI tools.

How we use it

• Count your outreach per day, including follow-ups, and show it on your dashboard, the program leaderboard and to coaches.
• Label each sent email as influencer or brand outreach, and each reply as interested, asking for rates, not interested or out of office, and record what happened to each email (for example “asked for rates” or “no reply”). Labels are produced by Laya, an open-source AI model that runs on our own servers, so email text is not sent to any AI company. It is trained on labelled outreach emails, including corrections students make, to keep it accurate.
• Help coaches learn what works across the program: reply rates by email length, subject, timing, follow-ups and type, and reading the emails behind those numbers.
• Exclude emails that aren't outreach: Instantly warm-up emails, emails between your own inboxes, bounces and out-of-office replies.

We never send, delete, change or forward anything in your inbox. Gmail data is not sold and not used for advertising. Our use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements.

Who can see it

• You see all of your own data.
• IMA Accelerator coaches can read your outreach emails and the replies, see your numbers, and analyse emails across the program, because you agreed to this when connecting your inbox.
• Exports: coaches can export emails to study them, including with AI tools. Exports made for AI tools remove the email addresses and phone numbers of the people you emailed (company domains are kept). Every export is logged with who made it, when and what it contained. Coaches only use AI tools on business plans that don't train on the data.
• Other students see only your name and totals on the leaderboard.

Where it is stored and for how long

• Email text is kept in our database (Supabase, United States) for 90 days. After that it moves to a private, access-controlled archive on Google Cloud Storage (United States). Counts, labels and outcomes stay in the database.
• We keep emails while you are in the program and for as long as IMA Accelerator needs them to improve its coaching. You can ask us to delete your account and all your emails, including the archive, at any time.
• Google access tokens are encrypted, and access to data is restricted by role.

Your choices

You can disconnect an inbox at any time from the Inboxes page, which stops all access immediately; you can also remove access from your Google account settings. Emails already collected stay in your history unless you ask us to delete them. To get a copy of your data or have it deleted, contact your IMA Accelerator coach.

People you email

The influencers and brands you contact don't use this tool. We hold their name, email address and what they wrote only as part of your outreach history, use it only for coaching and analysis inside the program, and remove their contact details from exports made for AI tools. They can ask us to delete their data by contacting your IMA Accelerator coach.
